Livestream portal for Baadjou
Secure event platform with Vimeo streams and Zoom breakout rooms
The challenge
Baadjou Film & Stage Productions handles the technical production and direction of conferences, training sessions and events for clients like Philips and HighTechXL. For the online edition of those events, they needed a closed portal of their own: participants must enter via either a general password or a personal access code, the stream must be able to handle hundreds of concurrent viewers, and Zoom breakout-room interaction must be tied to the right room for every participant. On top of that, every stream must get its own URL and its own settings, so the portal can serve different clients and events in parallel.
Our solution
We developed a custom WordPress plugin on top of Advanced Custom Fields with which Baadjou plans a livestream per event. The Vimeo integration handles the actual video stream, and the Zoom API ties breakout rooms directly to the right participants. Each event gets its own URL where content, branding, access rules and breakout configuration are freely adjustable.
Tailored access
For some events, a general password is enough; for others, a personal access code is required. Both options can be set per event. When personal codes are used, the system automatically sends emails to registered participants with their access details and any breakout assignment. That saves the Baadjou team hours of manual work per event.
Stable under load
The architecture is set up to handle hundreds of concurrent viewers, with the Vimeo infrastructure as the heavy-lifting backbone. WordPress and the plugin only handle access and the Zoom integration, so the stream itself is never dependent on the in-house server.
The impact
Baadjou can run online events as smoothly as their physical productions. Clients get a platform with their own branding, participants experience a smooth access flow without external accounts, and breakout moments take place automatically in the right configuration. The portal has become a fixed part of Baadjou's livestream offering.
